Administrative Assistant for Development

Description:

To administer and manage Mission Advancement activities and data, so that organizational relationships with constituents are maintained and nurtured.

Duties:1. Assist staff in logistics related to Community Conversations initiative-Community Conversations are a series of events LIRS is holding across the country to learn more about how "welcome" is expressed to migrants and refuges when they are new to a community. This series of events will take place over the next 18 months.

2. Manage Community Conversations "Wall" at LIRS to keep headquarters staff abreast of Community Conversation activities across the country

3. Coordinate with Business Administrator on Community Conversations activities

4. Gift tracking, management and acknowledgement

5. Lead data management including:

  • constituent contact information entry from external outreach activities
  • maintain fundraising records in online constituent management system
  • maintain records of staff interactions with donors and donor churches
  • track staff  travel, meetings,& events
  • enter notes from donor meetings and events

6. Manage and lead donor database maintenance including monthly database audit for data health, maintain regular evaluation of database system to determine best practices

7. Lead data export and import activities for mailings, annual report, data appends, donor acquisition

8. Coordination of meetings and logistics with external contractors working for Resource Development

9. Lead unit administration including:

  • arrange staff travel /meeting requests
  • liaise with Finance: Check Requests/Visa Statements
  • arrange donor visits
  • assist with event planning (planning, catering, invitations, RSVPs)
  • monitorMission Advancement specific email in-boxes
  • respond to donor requests (address changes, email changes, etc.)

10. Perform other job-related duties as assigned.

Qualifications: 
  1. Commitment to LIRS's core mission and values and an ability to model those values in relationship with colleagues and partners; commitment to refugees and immigrants
  2. Bachelor's degree preferred or equivalent experience
  3. 3 years' experience in non-profit sector
  4. Expertise in utilizing and managing Blackbaud's Raiser's Edge software
  5. Expertise in utilizing Microsoft Office applications (Outlook, Word, Excel, Access)
  6. Experience working with refugees, immigrants or limited English speakers
  7. Excellent oral and written communication skills
  8. Experience copy-editing external communication materials
  9. Ability to manage multiple projects simultaneously
  10. Ability and willingness to travel occasionally/approximately 5%  percent of the time/domestically/internationally/etc.
